Train Yen

Teach the chat how to talk: her personality, how to handle each group, and rules. Practise with her on the right as any kind of person, and turn your feedback into rules. Saved changes apply to her very next reply, on every channel.

Who she is and how she talks, in every chat. Write it the way you'd brief her, using “you”.

Why they're learning

The reason behind it changes everything: tone, the first phrases worth teaching, and what to offer. Edit, add or remove reasons. Tick which sign-up answers count as each one. For people who didn’t say, she works it out from the chat.

Rules

Short, specific instructions. Each one is for everyone or one group, and can be switched off without deleting it.

Examples in your own words

What someone said, and how you’d really reply. Real examples teach her your voice better than rules. She sees a few that fit each chat, and copies the style, not the exact words.

Nothing unsaved.

Practise with her

You play the other person. Nothing is saved and nobody is messaged. She uses your unsaved changes too, so you can try something before saving it.

Test chats

Tricky first messages she should always handle well. Run all tests asks her every one again with what you’ve taught her (including unsaved changes), so a new rule can’t quietly break an old one. Mark each reply good, or not you.

Reschedule cutoff (hours before a class)

Students can move a class up to this many hours before it starts. After that the Reschedule button disappears. Set 0 to allow it right up to class time.

First class free

Give every new free user their first 1-to-1 class free

When on, a brand-new account (never bought or been gifted a class) sees “Your first class is on me” on their dashboard and can claim one free 60-minute class, and I offer it to them in chat. One per person. Turn this on only once a class can actually be booked — if booking isn’t working, don’t invite people to claim one.

Let Yen’s AI answer WhatsApp messages

Off means every message still lands in the Inbox and on Yen’s phone, but only Yen replies. People in her saved contacts or her existing chats are always left to her, and never stored here. Turn this on once her contacts have come across after connecting the number.

Classes in person, in Đà Nẵng

Students can buy any pack as in-person classes instead of online, at a flat $30 a class — $30, $150, $300, $600 — and an in-person class runs 75 minutes rather than 60. Nothing to switch on: it is already offered. These two settings just make it smoother.
Set your in-person Calendly event type to 75 minutes, or students will book the wrong length.

Where you can meet. Up to three places, one per line. They show on the price card before anyone buys, so nobody pays for in-person classes without knowing roughly where. Add a map link after a | and the place becomes tappable — Name | https://maps.google.com/…. Leave it empty and the page says you’ll agree a place in the chat.

Your in-person Calendly link. Make a second event type in Calendly with only the hours you’re willing to travel for, and paste its booking link here. Then an in-person student can only book those hours. Leave it empty and they book your normal calendar instead — they can still book, you just have to watch where you said you’d be.

Paying by bank transfer

For students who can’t pay with the QR code. When someone tells the chat it doesn’t work for them, it offers a transfer and gives them exactly what you write here. Once they say it’s sent, the chat hands them to you: check your bank, then use Record a payment on their student card to unlock what they bought. Leave it empty and the chat says you’ll send the details yourself.

Start fresh

Before real students arrive: remove every test student, order, payment, chat and class record. Kept: the modules and their content, everything taught in Train Yen, settings, quotes and images. The accounts you list below stay, with their purchases, classes, bought modules, Pro and chat cleared (their sign-up answers and module progress stay). This can’t be undone.

Class heads-up for you

The day before a class, you both get an email with who it is, their level and your note. Students are not emailed from the calendar.

Welcome series for new sign-ups

Three short notes from Yen in a new account’s first week. Off until you’ve read the wording below and are happy with it. Only people who sign up after you switch it on get them, and each email has a link to stop them.

Yen writes first when a free user hits a milestone

Her AI sends a short message to their chat (and an email saying she wrote) when they finish a module, pass 10, 25 or 50 phrases, finish all the free modules, or go quiet for a week. At most one a week per person, never mid-conversation, 9am–8pm Vietnam time.

Instagram & Messenger

Let Yen’s AI answer Instagram DMs Let Yen’s AI answer Facebook Messenger

Off means messages still land in the Inbox, but only Yen replies. Her Instagram inbox has friends in it too: in the Inbox, mark any of those chats Personal and they’re removed and never stored or answered again. Turn the AI on once the friends are sorted.
